2. What we collect

Information you give us

When you fill in our sign-up forms, we ask for the following.

Some fields are required; the rest are optional and you can leave them blank.

  • Name
  • Studio name
  • Role
  • Country or region of residence
  • Email address
  • Roblox username
  • Discord ID
  • How you would like to work with GeekOut
  • Studio group URL
  • A link to your best Roblox experience or UGC item
  • An X (Twitter) or YouTube link

Information we collect automatically

If you agree to analytics cookies, Google Analytics 4 — an analytics service provided by Google LLC — records cookies, your device and browser details, and which pages you looked at. It also uses your IP address to work out roughly where you are; Google Analytics 4 does not log or store the IP address itself. This is sent to Google's servers in the United States and processed in accordance with Google's Privacy Policy.

Google Analytics only starts running once you select “Agree” in the consent banner.
If you decline, no analytics cookies are set. You can change your mind at any time from “Cookie settings” in the footer.

3. Why we collect it

  • To contact you when an opportunity matching your experience and role comes up — a collaboration, or, if you told us you are interested, a role at GeekOut
  • To run the Free Ice Cream Campaign at RDC 2026
  • To send you occasional updates about GeekOut events and campaigns — only if you ticked that box
  • To understand how this site is used, so we can improve it

Our legal basis for all of the above is your consent. You can withdraw it at any time,
and doing so is as easy as giving it — see section 8. If you withdraw it we will stop using your information and delete it, apart from the minimum record we need to show that we dealt with your request.

4. You need to be 16 or older

Our sign-up forms are for people aged 16 and over. Please do not submit either form if you are younger than that.

If we become aware that we have collected information from someone under 16, we will delete it.

5. Who we share it with

  • Google LLC — we use Google Forms for the general sign-up form and Google Analytics to measure how the site is used. Responses to that form, and analytics data, are stored on Google's servers. The Free Ice Cream Campaign form does not go through Google Forms — see section 6.
  • Discord — if you follow a link to our Discord community, Discord's own privacy policy applies from that point onwards.
  • Service providers working for us under contract, and only as far as they need to. They act on our written instructions and may not use your information for their own purposes.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

6. Where your data goes

Responses to the general sign-up form are stored on Google's servers in the United States. Responses to the Free Ice Cream Campaign form on this site are stored in a database on the server that hosts geekout-rdc2026.com, in Japan. Either way, your information is handled by GeekOut K.K. in Japan. Where information is handled outside Japan, we make sure it is protected to the standard Japanese law requires. Write to privacy@geek-out.io if you would like the details. If you are in the EU or the UK, note that the European Commission has recognised Japan as providing an adequate level of protection for personal data.

7. How long we keep it

  • Form responses — two years from the day you submit, or from the last time we were in touch with you, whichever is later. After that we delete them.
  • Updates list — until you unsubscribe.
  • Analytics data — 14 months, after which it is deleted automatically.

You can ask us to delete your information sooner at any time.

8. Your rights

You can ask us to:

  • tell you what we hold about you
  • correct anything that is wrong
  • delete it
  • stop using it
  • send you a copy

You can withdraw your consent at any time, and you can unsubscribe from updates using the link in any email we send you.

Write to privacy@geek-out.io and we will get back to you. We may need to confirm who you are before we act on a request. We do not charge a fee. The same address is where to send a complaint about how we have handled your information.

If you are in the EU or the UK, you also have the right to lodge a complaint with your local data protection authority.

If you are in California, you have the right to know what we collect, to ask us to delete it, and to opt out of any sale or sharing of it. As set out above, we do not sell your personal information and we do not share it for cross-context behavioral advertising.

9. Cookies and analytics

We use cookies for two things: to remember your consent choice, and — if you agree — to run Google Analytics 4. We do not use advertising cookies.

You can decline analytics in the consent banner, or change your choice later from “Cookie settings” in the footer. Declining does not affect anything else on the site.

For the full details — every cookie we set, what it is for and how long it lasts — see our Cookie Policy.

10. Keeping it safe

We limit access to your information to the people at GeekOut who need it. We have internal rules for handling it, and we require the providers who store it for us — including Google — to keep it secure under contract. Where information is held outside Japan we take that country's data protection rules into account when deciding what measures are needed. No system is perfect, but we take this seriously.

11. Changes to this policy

If we change this policy we will update the effective date at the top of the page.

If the change is significant, we will say so on the site.
